Privacy Policy — ClientCase browser extension

Last updated: October 11, 2026

The ClientCase extension for Google Chrome ("the extension") is part of the ClientCase service operated by Kirill Prudnikov, Spain ("we"). It works only for users who have a ClientCase account. This policy explains what data the extension handles. Data stored in your ClientCase account is also covered by the ClientCase privacy policy.

1. What the extension collects and why

Sign-in. Your email address and the one-time code from the sign-in email are sent to the ClientCase authentication server to sign you in. Access and refresh tokens are kept in the extension's own storage on your device and are used only to call the ClientCase service.

Meeting transcripts (Google Meet). When you start recording — with the button or by the automatic rules you choose — the extension reads the live captions shown on the Google Meet page and sends the text, the speakers' names as shown in Meet, the meeting code and times to your ClientCase account, where it is saved as a note. No audio or video is recorded. After the meeting, ClientCase generates a summary and tasks from the transcript. If capture seems broken, the extension sends technical signals about the caption area so we can fix it.

Form autofill. When you choose to fill a form, the extension reads the form's fields on that page and fills them with values from your ClientCase project. If you save a form layout, the field structure (names, labels, positions) is stored in your ClientCase workspace. The extension never submits forms. Access to a website is requested separately for each site, only when you ask to fill a form there. In the optional "Local data" mode, the extension downloads the Google Sheet you link and keeps the values on your device.

2. Where data goes

  • The ClientCase service and its backend hosted on Supabase in the European Union (Ireland).
  • Meeting summaries are generated by the AI provider selected in your workspace settings (such as Anthropic, Google or OpenAI); the transcript is sent to it only for this purpose.
  • Google Sheets — only in "Local data" mode, to read the sheet you link.

We do not sell your data, do not use it for advertising and do not share it with third parties except the processors listed above, which act on our behalf. The extension has no analytics or tracking.

3. Storage and deletion

  • On your device: settings, the selected workspace, recently used projects, a temporary copy of an in-progress transcript and a retry queue for transcripts that could not be sent (kept up to 24 hours). Removing the extension deletes all of it.
  • In your ClientCase account: meeting notes, summaries and saved form layouts, kept until you or your workspace administrator delete them, or until your account is deleted.

4. Meeting participants

The person recording is responsible for telling other participants that a transcript is being made. The recording indicator added by the extension is visible only to the person recording.
